Notion and ClickUp have both added AI capabilities to their platforms, but they approach the problem from fundamentally different angles. Notion is a knowledge management and writing platform first — its AI is designed to help teams write, summarise, and query their documentation and notes. ClickUp is a project management platform first — its AI is designed to help teams manage tasks, generate project summaries, and automate repetitive project management work. Both have expanded into the other's territory, creating genuine overlap, but each still has a dominant use case.

We ran both platforms for a 12-person marketing agency for 8 weeks, using Notion for documentation and ClickUp for project management simultaneously. Then we switched both teams to the AI-native workflows each platform offers and measured productivity changes. Here is what happened.

Verdict: Notion AI wins for knowledge-intensive businesses — agencies, consultancies, content teams, and companies where documentation is central to how work gets done. ClickUp AI wins for operations-heavy businesses — project-driven teams where task management, deadlines, and workload visibility matter most.

Pricing Comparison

Notion's AI is an add-on to any plan, costing $10/member/month (billed annually). The underlying Notion Plus plan costs $8/member/month, making the AI-enabled plan effectively $18/member/month. For a 10-person team, that is $180/month for full AI access — reasonable given the breadth of what Notion AI covers.

ClickUp AI is also an add-on, priced at $7/member/month on top of the base plan. ClickUp Business costs $12/member/month, making the AI-enabled Business plan $19/member/month. Very similar to Notion at the per-seat level. The key difference is that ClickUp's free plan is genuinely generous (unlimited tasks, 5 spaces, basic features), which makes it a better starting point for cost-conscious teams.

AI Features: What Each Platform Does Well

Notion AI's strongest feature is Q&A across your workspace. You can ask it questions like "what was the decision we made about pricing in Q3?" or "summarise all the meeting notes from last month about the product roadmap" — and it will search your entire Notion workspace and synthesise an answer. For knowledge-intensive teams with large documentation libraries, this is transformative. Finding information in Notion previously required knowing where to look; AI Q&A removes that friction entirely.

Notion AI also excels at document generation. Give it a brief outline and it produces a full draft — a product spec, a marketing brief, a meeting agenda — in seconds. The writing quality is high, and because it has access to your workspace context, it can reference your existing terminology, product names, and team structure. Editing AI-generated Notion documents feels more like refining a rough draft than rewriting content from scratch.

ClickUp AI is strongest at project management tasks. It can generate task lists from a project brief (you describe what you need to accomplish, it creates the tasks and subtasks), write task descriptions, summarise project progress across multiple tasks, and identify blockers. The "Catch Me Up" feature — which summarises everything that happened on a project while you were away — was the feature our team found most immediately useful. For project managers and team leads, this removes the daily ritual of manually scanning update threads.

Document and Knowledge Management

Notion's document capabilities are best-in-class. Its block-based editor handles everything from simple notes to complex structured documents with databases, tables, and embedded content. The flexibility is unmatched — you can build a wiki, a CRM, a content calendar, and a project tracker in Notion, all in the same workspace. AI enhances this by making existing content accessible through natural language.

ClickUp's Docs feature is good but secondary to its task management core. It handles structured documentation well but lacks Notion's flexibility for complex knowledge base architecture. If your team needs a sophisticated documentation system, ClickUp Docs is a functional but limited alternative to Notion.

Project Management Depth

ClickUp is a more complete project management tool than Notion. It handles task dependencies, time tracking, workload views, Gantt charts, sprint management, and resource planning — all with native features. For teams that manage complex, interdependent projects with multiple workstreams, ClickUp's project management depth is genuinely valuable.

Notion's project management features (linked databases, calendar views, Kanban boards) are flexible but require more setup to achieve what ClickUp delivers out of the box. For straightforward project tracking, Notion works well; for complex project operations, ClickUp is significantly more capable without customisation.

Verdict: Which Should SMBs Choose?

Choose Notion AI if: your business is knowledge-intensive (consulting, agencies, SaaS, publishing), your team creates and references significant documentation, writing and research are central to daily work, or you want AI that makes your knowledge base searchable and queryable. Notion AI's Q&A feature alone changes how teams interact with their documentation.

Choose ClickUp AI if: your business is project-driven (agencies, development teams, operations), you manage multiple simultaneous projects with dependencies and deadlines, your team needs workload visibility and resource planning, or you want AI that reduces project management overhead rather than writing overhead. ClickUp's AI integrates directly into task and project workflows rather than documents.

Many teams use both — Notion for knowledge management and ClickUp for project execution. If that is your setup, the AI in each platform serves its natural purpose without conflict.
